What is personal information
Personal information is any information that tells us something about you. This could include information such as name,

orientation. This information is more sensitive, and we need to have further justifications for collecting, storing and

All data is hosted in datacentres which have systems and protections in place to protect against both unauthorised access,
and other external factors that could cause damage to, your personal data. There are strict access requirements in place
and access is restricted to those absolutely necessary.

To comply with our legal and regulatory obligations;
For the performance of our contract with you or to take steps at your request before entering into a contract;
For our legitimate interests or those of a third party; or
Where you have given consent
What happens if you do not provide information that we request?
If you do not provide the information required, we won’t be able to perform our contract with you and may not be
able to provide services to you or continue to provide certain services to you. We need some of your personal information
to perform the services you have requested from us. For example:
If you are selling /renting a property
we need to know your contact information so that we can update you with information on viewings, offers and the progress
of the sale;
If you are looking for a property
we may need to know some further details about your particular circumstances so that we can find you a suitable property;
We also need some information so that we can comply with our legal obligations. For example, we may need identity documents
from you to meet our obligations to prevent fraud and money laundering.
In addition to help you with a property related service we must comply with certain regulations such us Money Laundering,
Terrorist Financing and Transfer of Funds Regulations 2017, etc. and therefore are required to obtain certain information
from you to comply with regulations.
The information provided will only be used to comply with the Regulations and will not be shared with any other party
unless we are required to do so under law.
How your personal information is collected
We collect most of this personal information directly from you however, we may on rare occasions also collect information
from publicly accessible sources such as:
HM Land Registry
sanctions screening providers;
credit reference agencies;
customer due diligence providers;
any other third party websites.

We do not sell or otherwise disclose personal information we collect about you, except as described in this Privacy Notice
or as indicated via the consent process at the time the data is collected. We share the information we collect with, but

Landlords and landlord associates and sub processors
Formally contracted service providers to perform services on our behalf
Councils, health and care providers
Land Registry Office
Her Majesty’s Revenue and Customs (HMRC)
Financial Conduct Authority (FCA) and other relevant regulatory bodies
Employers requesting references via your written consent
Previous Landlord references via your written consent
How long do we keep information for?
We only keep your information for as long as necessary
We may use your personal information to send you updates about our us, our services or properties on the market that may
be of interest to you.
We have a legitimate interest in processing your personal information for marketing purposes meaning that we do not usually
need your consent to send you marketing communications.
We won’t sell or share your personal information with other organisations for marketing purposes.

We might send marketing materials and / or email our services to existing and former customers, any other party who have
previously registered with us or expressed an interest in our services, third parties with whom we have had no previous
dealings for our legitimate interests in order to promote our business.
