We have always taken data protection very seriously. During the last few months we have been working really hard to update our processes and documentation to meet the requirements of the GDPR, the new European data protection law coming into force on 25 May 2018.
As part of this work, we’ve updated our privacy policy to give you more insights into how we process your personal data.

What is personal information

Personal information is any information that tells us something about you. This could include information such as name, contact details, date of birth, bank account details or any information about your needs or circumstances which would allow us to identify you.

Special personal information under data protection legislation.

This includes information relating to health, racial or ethnic origin, religious beliefs or political opinions and sexual orientation. This information is more sensitive, and we need to have further justifications for collecting, storing and using this type of personal information. There are also additional restrictions on the circumstances in which we are permitted to collect and use criminal conviction data.

Personal information we might collect about you

Your name and contact information, including email address and telephone number and company details if applicable;
Information to enable us to check and verify your identity;
Your professional or personal online presence if you share it with us;
Your contact history, transaction and instruction history with us;
Your nationality and immigration status and information from related documents, such as your passport or other identification, and immigration information if you are a potential tenant applying for a tenancy;
Information to enable us to undertake Anti Money Laundering and Terrorist Financing electronic checks on you;
Your billing information, transaction and payment card information;

 How we keep your information secure

All data is hosted in datacentres which have systems and protections in place to protect against both unauthorised access, and other external factors that could cause damage to, your personal data. There are strict access requirements in place and access is restricted to those absolutely necessary.

Why we use your personal information

To comply with our legal and regulatory obligations;
For the performance of our contract with you or to take steps at your request before entering into a contract;
For our legitimate interests or those of a third party; or
Where you have given consent

What happens if you do not provide information that we request?

If you do not provide the information required, we won’t be able to perform our contract with you and may not be able to provide services to you or continue to provide certain services to you. We need some of your personal information to perform the services you have requested from us. For example:

If you are selling /renting a property

we need to know your contact information so that we can update you with information on viewings, offers and the progress of the sale;

If you are looking for a property

we may need to know some further details about your particular circumstances so that we can find you a suitable property;
We also need some information so that we can comply with our legal obligations. For example, we may need identity documents from you to meet our obligations to prevent fraud and money laundering.

Anti-Money Laundering

In addition to help you with a property related service we must comply with certain regulations such us Money Laundering, Terrorist Financing and Transfer of Funds Regulations 2017, etc. and therefore are required to obtain certain information from you to comply with regulations.
The information provided will only be used to comply with the Regulations and will not be shared with any other party unless we are required to do so under law.

How your personal information is collected

We collect most of this personal information directly from you however, we may on rare occasions also collect information from publicly accessible sources such as:
Companies House
HM Land Registry
sanctions screening providers;
credit reference agencies;
customer due diligence providers;
any other third party websites.

Who we share your personal information with

We do not sell or otherwise disclose personal information we collect about you, except as described in this Privacy Notice or as indicated via the consent process at the time the data is collected. We share the information we collect with, but not limited to:
Landlords and landlord associates and sub processors
Formally contracted service providers to perform services on our behalf
Councils, health and care providers
Law firms
Credit agencies
Land Registry Office
Her Majesty’s Revenue and Customs (HMRC)
Financial Conduct Authority (FCA) and other relevant regulatory bodies
Employers requesting references via your written consent
Previous Landlord references via your written consent

How long do we keep information for?

We only keep your information for as long as necessary

Marketing Material

We may use your personal information to send you updates about our us, our services or properties on the market that may be of interest to you.
We have a legitimate interest in processing your personal information for marketing purposes meaning that we do not usually need your consent to send you marketing communications.
We won’t sell or share your personal information with other organisations for marketing purposes.

Our legitimate interest

We might send marketing materials and / or email our services to existing and former customers, any other party who have previously registered with us or expressed an interest in our services, third parties with whom we have had no previous dealings for our legitimate interests in order to promote our business.
If we process your information under legitimate interest you can opt out at any time.
